01Who we are
Roundtable is a meeting, approval and finance workspace built and operated by eknos. This policy explains what data we handle when your company uses Roundtable, when you visit meetings.eknos.com, or when you sign up to attend a meeting.
For data your company puts into its workspace, your company is the data controller and eknos processes it on their behalf, under our agreement with them.
02What we collect
- Account details: name, work email, role, division, reporting line and sign-in method (password, passkey or Google).
- Meeting records: topics, dates, venues, budgets, cost lines, approvals, comments and change history.
- Documents and media: invoices, receipts, PAN and cheque copies, attendance sheets, photos and recordings uploaded to a meeting.
- Payment references: amounts, payees and bank reference numbers recorded by Finance. We do not process card payments.
- Attendee sign-ups: the details an attendee enters on a meeting sign-up link, shared only with that meeting's organiser.
- Technical data: basic logs such as IP address, browser and timestamps, used for security and troubleshooting.
03How we use it
- To run the service: route approvals, book venues, release payments and keep the record of each meeting.
- To send the notifications your workflow needs, such as approval requests and payment alerts.
- To keep accounts secure, prevent misuse and fix problems.
- To provide support when you or your administrator contact us.
05How we protect it
Each company's data is isolated at the database row level, so it is never visible to another organisation. Access inside a workspace follows roles. Connections are encrypted in transit, and every change to a meeting is recorded in its history.
06How long we keep it
We keep workspace data for as long as your company uses Roundtable, or as your agreement with us sets out. When an administrator deletes records or closes the workspace, the data is removed from the live service, apart from what we must keep by law.
08Your rights
You can ask to access, correct or delete your personal data. For data inside your company's workspace, your administrator can usually do this directly; otherwise write to [email protected] and we will help, in line with India's Digital Personal Data Protection Act, 2023 and other laws that apply.
