01The agreement
These terms apply when you use Roundtable, the meeting, approval and finance workspace operated by eknos. If your company has signed a separate agreement or order form with us, that agreement takes priority where the two differ.
By creating a workspace or signing in, you confirm you are using Roundtable on behalf of your company and are allowed to do so.
02Accounts and access
- The person who creates a workspace becomes its administrator and controls who is invited and what each role can do.
- Keep your sign-in details private. You are responsible for activity under your account.
- Tell us straight away at [email protected] if you think an account has been misused.
03Using Roundtable responsibly
- Use it only for lawful business purposes and in line with your company's own policies and applicable regulations.
- Only upload documents and personal data you have the right to share.
- Do not try to break, overload or get around the security of the service, or access another company's data.
04Your data
Your company owns the data it puts into Roundtable. We use it only to provide and support the service, as described in our privacy policy. You can export your records, and ask us to delete them when you stop using the service.
05Venue concierge and payments
When you ask the Eknos concierge to source a venue, we share the meeting requirements with venues to get quotes. A booking is confirmed only when someone in your workspace selects and confirms a quote.
Roundtable records approvals, advances, final payments and their proof. Payments themselves are made by your Finance team or as set out in your agreement with us; Roundtable is not a bank or payment service.
06Fees
Fees, billing cycle and any concierge charges are set out in your order form or proposal from eknos.
07Availability and changes
We work to keep Roundtable available and secure, and we improve it over time. We may change features, and we will give reasonable notice of changes that significantly affect how you use it.
08Liability
Roundtable is provided as described in your agreement. To the extent the law allows, eknos is not liable for indirect or consequential losses, and our total liability is limited to the fees paid for the service in the twelve months before the claim.
09Ending the service
Your company can stop using Roundtable as set out in its agreement. We may suspend access that breaks these terms. After the service ends, you can request an export of your data for a reasonable period before it is deleted.
